What information we keep

  • Contact details: your name, date of birth, address, country and usual location for sessions, phone number and email.

  • Emergency details: your emergency contact and your GP or doctor.

  • Health information: information you share about your mental and physical health, including medication, given in the course of therapy.

  • Session notes: a brief factual record of each session (such as dates, attendance and key decisions), and your therapist's handwritten process notes.

  • Messages: texts, emails and voicemails between you and your therapist.

  • Payment records: dates of sessions and payments.

  • Enquiries: if you contact us through our website, the details you give (such as your name, email, phone number, country, the service you are interested in and your message). If we do not start working together, we delete your enquiry within 12 months.

Why we keep it, and the legal basis

  • To provide your therapy: this is needed to carry out our contract with you.

  • Health information and notes: kept because we provide health care through a professional bound by confidentiality, as UK data protection law allows.

  • In an emergency: to protect your life or someone else's, or to meet safeguarding duties.

  • Payment records: to meet tax and accounting law.

Who we may share it with

We never sell your information or use it for marketing. We share it only when necessary:

  • Clinical supervisor: your therapist may discuss their work with a clinical supervisor, in a way that does not identify you.

  • Emergencies and safeguarding: emergency services, your GP or safeguarding authorities, as set out in the confidentiality section of your contract.

  • When the law requires it: for example a court order.

  • Professional services: our accountant (payment records only), and our insurer or legal adviser if a claim or complaint needs it.

  • Service providers: the secure video platform, email and phone services used for your sessions and messages.

  • Clinical executor: if your therapist dies or suddenly becomes unable to work, a named therapist who is bound by confidentiality will use your contact details to let you know and to help you find support, and will keep your records safe.

Limits to confidentiality

What you share stays confidential, except where your therapist must act to protect you or others. This covers serious risk of harm to yourself or others (including suicide risk), concerns about the safety of a child or an adult at risk, and where the law requires disclosure, such as a court order or information about terrorism or other serious crime. These duties apply under UK law and, if you live outside the UK, under the law of your country. Where possible, your therapist will talk with you first.

Digital tools and platforms

  • Online sessions use Zoom, and messages go through phone and email services. These providers process some data, such as contact details and connection information, to run their services. They do not have access to what is said in sessions.

  • We do not record sessions.

  • We will not put your personal information into any artificial intelligence (AI) tool without your consent.

Clients outside the UK

If you live outside the UK, your information is sent between your country and the UK, and some service providers may store data abroad. We use providers that protect data to UK standards.

How we keep it safe and for how long

  • Handwritten notes are kept in a locked drawer. Digital information is kept on password-protected devices and accounts.

  • Session notes and contact details are kept for 7 years after therapy ends, then securely destroyed. For clients under 18, they are kept until the client's 25th birthday or for 7 years after therapy ends, whichever is later.

  • Payment records are kept as long as tax law requires, usually 6 years.

Your rights

You have the right to:

  • ask for a copy of the personal information we hold about you;

  • ask us to correct information that is wrong;

  • ask us to delete or limit the use of your information, or object to its use.

Some rights have legal limits. For example, we may withhold information where sharing it could cause serious harm or would reveal information about other people. We may also need to keep records for the period above. If you make a request, we will respond within one month.

Please contact us first if you have any concern about your information. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
